Hostel Rules and Regulations

Student pursuing his / her studies at Symbiosis Skills and Professional University, may reside in Hostel, owned and maintained by University during the studentship of the academic programme.

The information regarding hostels is being provided on the University website as well as in the prospectus. The rules and regulations are framed to ensure that the hostel property is protected; student staying in the hostel is comfortable in a conducive environment for healthy living and discipline is maintained amongst the inmates. Students are required to abide by these Rules and Regulations.

  • Hostel is meant only for the use of bonafide students of University.
  • Admission to the hostel will be valid for one academic year only. Hostel admission will lapse at the end of each academic year. Students are required to apply afresh each year.
    • Students are required to vacate the Hostels and their Room within 4 days after their exams are over for the academic year, failing which a fine of Rs.1000/- per day shall be charged to the students.
    • Admissions to Hostel is First come First Serve Basis for each year and student should apply through Online mode only.
    • Preference will be given to Juniors/1st year students/ Fresher students.
    • Admission to Hostel will be subject to availability & sole discretion of the management of SOES and SSPU.
    • The management of SOES and SSPU reserves the right to expel any student from the Hostel at any time on the grounds of misbehavior, misconduct & violation of the University’s code of conduct.
    • Students residing in the hostel managed by SOES / SSPU shall strictly observe all the rules and regulations in force from time to time. Breach of any rules/regulations may invite rustication/fine.
    • Student who are expelled from the Hostel for any Disciplinary concern are not liable for any refund of Hostel Fee.
  • Admission to the hostel for each academic year is subject to availability.
  • During their stay in the hostel they will be under the control of the Registrar/ Campus Admin/ Rector.
  • SOES/ SSPU reserves the right to cancel admission of underserving students without giving any reasons.
  • The right of the allotment of the room is reserved with the Management of Symbiosis Professional Education Society. Students will not be allowed to prefer a particular room.
  • Campus Admin of SOES and Rector (Boys & Girls hostel) jointly finalize the list of students admitted in the Hostel and also allot the rooms & furniture etc. No complaint in this regard will be entertained.
  • List of students jointly finalized by Campus Admin, of SOES, Rector Boys and Girls hostel will be put up for approval of Principal Director, Symbiosis Professional Education Society.
  • SOES / SSPU will not be responsible for any mishap/accident etc. of the student.
  • Students are strictly advised to update all personal information like contact numbers of him/her self, parents, local guardian and detail postal address. Giving false information will be viewed seriously.
  • Hostelites are required to maintain high standards of discipline, decency, decorum, etiquette, and conduct themselves in a disciplined and dignified manner expected from students of a prestigious institution such as ours.
  • Hostelites are expected to behave courteously and fairly with everyone both inside and outside the campus. It is their responsibility to maintain discipline, peace, and harmony in the hostel.
  • Senior students are advised to set a good example for their juniors.
  • Hostelites are always required to carry their valid Identity Cards issued by the University.
  • Smoking, spitting, and possession, distribution, or consumption of alcoholic beverages, chewable tobacco, prohibited drugs, and/or narcotic drugs in the SSPU/hostel premises are strictly prohibited.
  • Students should not enter the SSPU/hostel premises in an inebriated state or possess such materials. The hostel zone is a smoke-free zone. Students must not smoke or drink inside the SSPU/hostel premises, rooms, common rooms, dining hall, toilets, corridors, terrace, etc. Depending on the case, management reserves the right to take disciplinary action, including expulsion from the hostel and rustication from SSPU.
  • Private parties and social gatherings in the hostel complex are not permitted (except those permitted by management).
  • Hostelites shall not conduct group meetings or circulate books, pamphlets, or papers other than study material inside the SSPU/hostel premises. Any activity prejudicial to the smooth functioning of the University hostel will result in disciplinary action.
  • The hostel campus should provide the best possible conditions for studying and adequate rest. Students must show due consideration to others at all times.
  • Music must be kept low at all times. Television will be switched on from 12:30 PM and switched off after 10:00 PM. TV timings may be modified by the Campus Admin.
  • Musical instruments of any kind are prohibited in the hostel premises.
  • Every case of illness or accident must be reported immediately to the Rector and the Resident Medical Officer or nurse.
  • Hostelites suffering from contagious diseases will not be allowed to stay in the hostel. The decision of the Resident Medical Officer will be final and binding.
  • Hostelites will not enter rooms of other students without the permission of the concerned inmate.
  • Sports of any kind are not allowed in hostel rooms or corridors.
  • No combustible materials, firearms, or lethal weapons are allowed in the hostel.
  • Complaints regarding differences among hostelites or hostel staff will be handled by Hostel Authorities. No police/outside agency complaint shall be lodged without prior permission from the Registrar and Campus Admin.
  • Vehicles including bicycles and two-wheelers must be kept in the designated parking area. All students, including pillion riders, must wear helmets.
  • In case of any unacceptable behaviour by the room-mate, the other room-mate must report it to the SSPU/hostel authorities. Any hostilities, who is found to be indulging in undesirable activities such as physical assault, damage to property, disobeying SSPU/hostel rules etc., will be liable to the following punishments.
    • He / she will be expelled or rusticated from the SSPU / hostel.
    • A record of his / her misconduct will be made in the personal file.
    • The cost of damage will be fully recovered from him / her together with penalty.
    • He / she will also be fined, commensurate with the offence committed.
    • For criminal offences, a case may be registered with the local police for further action.
    • Parents / Guardian will be kept informed of any misconduct or disciplinary cases of the student.
  • Any hostelite found involved in arguments, quarrels, arrogance, or any form of misbehaviour with any staff member will be liable for severe disciplinary action.
  • Unwanted screaming, shouting, or causing disturbance is strictly prohibited.
  • Hostelites who use vehicles must submit Xerox copies of all relevant documents to the respective Rectors.
  • Any room may be checked at any time, with or without prior notice, in the presence or absence of students.
  • Campus in time: 10:00pm for Boys and Girls (Subject to change as per requirement)
  • Hostel Building in time: 11:30pm for Boys and Girls (Subject to change as per requirement) Note: Any change of timing for academic reason should be intimated 24 hours in advance.
  • Hostelites are required to make proper entry in the register placed with the security supervisor at the hostel main gate. They must write the place where they wish to go and the time of going out and also note the in time (on return) tot the Hostel.
  • E-mail for leave from Parents must reach before 4 days of day of journey on campusadmin@sspu.ac.in, boysrector@sspu.ac.in and girlsrector@sspu.ac.in respectively in prescribed format declared time to time by SSPU / hostel management. Email from Parents does not grant hostelities the permission to leave the Campus unless and until he/she takes signature on the Night Out form from their respected Rector 2 days before the day of journey.
  • Daily attendance must be signed and also noted in biometrics machine before 12:00 am.
  • Absence / unreported from hostel and late entry to the hostel after scheduled time without permission will be viewed seriously and punishable accordingly SSPU / Hostel rules and Code of Conduct. Recurring late entry when permitted on out pass / weekend leave result in forfeited of such facility in future and / or disciplinary action.
  • If any student remains absent and / or unreported from SSPU hostel without proper mode of permission of leave for more than 1 weeks, he / she will not hold any claim on designated room.
  • Hostelites are responsible for keeping their rooms and the common areas in the hostel such as visitor’s area, bathroom, staircase and common room etc. clean and tidy at all times. Common hostel furniture must not be moved without the permission of the Campus Admin / Rector.
  • Hostilities should exercise all possible economy in the use of water and electricity. All fans, lights and electrical Appliances must be switched off when not in use. Electrical stove, hot plates, emersion rod heaters, heating blowers, Music system with speakers etc., are not permissible in the hostel. Such equipment if found in the hostel room will be confiscated and No repairs in the room items will not be returned at all.
  • Cooking and making tea etc., is not allowed in the hostel room.
  • No repairs in the rooms such as driving nails, screws etc., and shall be done by the students themselves. They should lodge a complaint in the respective complaint book, repair work will be done by appropriate skilled personnel.
  • The resident of a room is responsible for any damage to the property in the room during his / her occupancy of that room and will be required to make good / compensate the damage, if any. The hostel management reserves the right to make spot checks on the hostel rooms without prior notice to the students and even in the absence of students.
  • Hostelites are required to hand over the furniture & other materials in good condition when he/ she changes/ vacates the room / hostel. Damage to furniture / goods will be paid for by the students.
  • Pasting of posters, photographs, pictures, writings and slogans of any kind or defacing the hostel in any form is not allowed.
  • Electricians, contractors or any other service person may enter rooms as and when necessary in the course of their duty under the directive of the Warden. However, every effort will be made to respect the privacy and dignity of the students.
  • No hostelite shall use the services of housekeeping staff for personal or menial work even on payment. Servant from outside even on temporary basis will not be permitted.
  • Hostelites shall use dustbin at campus / hostel for disposal of garbage. Fine up to Rs. 500/- will be charged if any garbage thrown in Campus / Hostel.
  • All visitors / parents must register at the main gate of the campus and at the main gate of the respective hostel and provide all details and documents as requested by Security before entering the SSPU campus.
  • The visitors (including ladies) will meet their wards in the canteen only between 9:00am to and 9:00pm. No visitors or parents are permitted to go to the student’s room.
  • Non- hostel students are prohibited in the hostel.
  • The student who violates these rules is punishable.
  • Student can meet to visitor / parents in visitor area.
  • Hostel mess is compulsory and under no circumstances, private preparation of food in their respective rooms shall be permitted.
  • Students are required to dine in the Dining Hall.
  • The system of self service will be followed in the mess.
  • d. Mess timings should be observed strictly as notified from time to time. The meals will not be served before/after the fixed hours.
    • Breakfast: 7:30am to 9:00am
    • Lunch: 12:30pm to 3:00pm
    • Evening Snacks: 5:30pm to 06:30pm
    • Dinner: 07:30pm to 09:30pm
    • (Note: Any change of timing for academic reason should be intimated 24 hours in advance).
  • Meals will not be served in the rooms except in cases of illness and that too only with the permission of the Rector. The students as well as the mess staff will be penalized for violating the rule. Students should use their own utensils to carry the mess/ canteen food to their respective room only in case of illness by reporting to the rector.
  • No students shall enter the kitchen or give instructions to the cooks or other servants. Students will not inter- act with the mess staff. They will give their complaints regarding food, service etc., if any, to the mess committee / rector who will resolve them after discussion with mess contractor, rector and campus admin.
  • Food must not be wasted paying mess bill does not entitle a diner to waste food.
  • Students especially Girls’ students must be decently dressed in the dining area.
  • Students are expected to behave properly & interact with the hostel & mess staff in a courteous manner. Disciplinary action will be taken in cases of misbehavior with the staff by any student.
  • Students on no account will be permitted to take any food outside the mess, not to carry mess/canteen utensils to their rooms. Disciplinary action will be initiated against students indulging in such practice.
  • Students are not permitted to cook any food on their own accord in the mess or in their rooms.
  • Student must assist in maintaining a high standard of hygiene & cleanliness in the mess and in their rooms.
  • No notice shall be pasted on walls & notice put up on the notice boards should not be removed by the diners.
  • After eating food, diners shall leave the cup, plate, waste food etc., in the designated/ disposal area. Disciplinary action will be initiated against students indulging in such practice.
  • If any student is medically ill and requires a special diet (e.g., less Oil/ spice food) he/she can request the rector to arrange for the same at the mess.
  • Incase student ordered outside food, the delivery shall be collected at the main entrance under the scrutiny of the security Staff.
  • Vandalism is a serious offence. Any damage to the hostel property must be reported immediately to the Rector. The students are not allowed to remove any property from the dining room, common room or the visitor’s room to their own rooms.
  • Any tampering with electrical fixtures will be treated as willful damage to the Hostel property. Students will be personally and collectively responsible for any loss or damage to the hostel furniture or other fittings in all the common facilities in the hostel. Students found guilty of committing such an offence can be evicted from the hostel.
  • In case of loss of room or cupboard keys the student will have to pay a nominal charge of Rs. 500/- tot the Rector and take the duplicate key from Rector when it is ready. Student should not use/make any duplicate key/keys of main door/wardrobe on their own.
  • Deposit of the students, who have damaged the hostel property by any means, will be forfeited incase decided by the Rector and the Campus Admin.
  • Any loss/damage of property of the hostel by unknown suspect will be recovered from all students in the hostel/floor.
  • Though security arrangements are provided, the SSPU shall not be responsible for any loss of valuables, jewelers, cash, belongings, mobile phones, laptop, watches, etc., or damage to property belonging to the students of the hostel.
  • They should not leave their room key anywhere around. Do not give your room keys to inmates of other rooms.
  • Hostellers are strictly instructed to remain in their room, whenever any person/persons related to housekeeping and infrastructure etc., are present in your room for any work.
  • Change of room except according to the allotment made by the Registrar, Rector and Wardens is not permitted.
  • Unauthorized change of room other than the rooms allotted by the hostel authority will be seriously viewed.
  • Students who have been allotted new rooms will have to shift to the new accommodation immediately whenever asked or informed by hostel authorities and hand over the possession of the old room. Keeping both rooms beyond the two days will be viewed seriously and will result in additional charges.
  • Denial for room changing will be considered as breach of rule resulting to disciplinary action.
  • The hostel management can end this tenancy at any time if
    • The student fails to pay any sum / due to the hostel within fifteen days of the due date.
    • The students fail to pay academic & other fees / dues as per prescribed timelines of the University.
    • If the student fails to comply with the terms of this tenancy.
  • Students are required to carry their hostel card at all times in the hostel complex and produce it on demand by the hostel authorities.
  • All students will have to undergo security check including frisking at the main gate, hostel and/or anywhere in the campus premises.
  • Students are advised to lock all doors at all times for security reason. Students are not permitted to change rooms or sleep anywhere other than in their room.
  • Any student, who finds his/her room-mate missing for more than 2 hours (beyond stipulated time), must report to the Rector immediately.
  • This is to enable the hostel authorities to take immediate action if any untoward incident has taken place. Your cooperation is very much appreciated.
  • The hostel management can end this tenancy at any time if
    • For the convenience of the hostel residents the Resident Medical officer shall administer first aid and primary routine treatment to its residents
    • However, in case of any medical emergency that may require hospitalization, the student will be moved to the nearest hospital and the local guardian/parent shall be informed accordingly. In such a situation, all medical and other expenses of the treatment / wellbeing of the student shall be payable by the respective parent / student. Local Guardian or Nurse and his/her friend will accompany the patient.
  • Special facilities like Wi-Fi, Gyms, Indoor games like Table Tennis & Chess, T.V room, Magazines, Newspapers, Laundry, Water cooler, Study room, Cafeteria and Amphitheatre are available, these facilities will be discontinued without prior notice if they are misused. Uninterrupted electricity and water supply is available in the hostel.
  • An atmosphere of mutual consideration and friendly co-operation makes the hostel an enjoyable place to live, study and relax. Proper arrangements are made to ensure that the residents are comfortable and utilize their time for studies.
  • Gym timing: 6:00am to 9:00am and 5:30pm to 8:00pm.
  • Outdoor Facilities: Up to 9:00pm only.
  • Teasing, abusing, threatening or playing practical jokes on, or causing hurt to, such student; or Asking a student to do any act or perform something which such student will not, in the ordinary course, willingly, do.
  • Ragging in any form is totally prohibited in the college premises, hostel, dining room, cafeteria, common rooms and outside campus, severe action will be taken against students who attempt to inflict ragging or abet ragging, actively or passively, or be a part of a conspiracy to promote ragging.
  • The powers relating to the disciplinary action will vest with the Director and his decision in this respect shall be final.
  • Students found guilty of ragging earlier will not be admitted to this University.
  • It is mandatory for student to submit ‘ON LINE’ Anti Ragging affidavit. For these the student has to visit the Government website www.antiragging.in follow the procedure as instructed in the website and present the affidavit with the hostel admission form.
  • Disciplinary Committee has been constituted by the University.
  • Possession/ Consumption of any prohibitory items is liable for disciplinary and/or police action as the case maybe.
  • Students found consuming or in possession of or providing any Cigarettes, Tobacco other Drugs or Narcotics or prohibited items shall be immediately isolated, investigated by the University / Hostel Authorities & appropriate action shall be taken by the University authorities against them.

Laundry services are optional. University has made the laundry services available to the students through a service provider. Laundry Charges (as applicable) have to be paid by the hostilities tot the Service Provider directly as per the services availed.

The hostel management reserves the right to revise, amend or relax the rules and regulations from time to time and will keep the student informed of any changes in the form of notices of the SSPU/Hostel Notice Boards and SSPU website. Ignorance of rules will not be accepted as an excuse.
